Case Studies

Below are a few examples of how our clients utilize this intuitive collaboration tool to effectively manage their board and leadership workflows.

After a few years of using an internal board portal for meetings, eBay’s Board of Directors Coordinator found herself growing frustrated over the amount of time it took to execute tasks. Aside from the fact that she was using an outdated system, it required extensive human labor to operate and was costly with thousands being spent on board book assembly expenses.

Prior to having an online board portal in place, Points’ Corporate Secretary had to compile board materials totaling anywhere from 150-300 pages per meeting and then either ship printed board materials or send large PDFs via potentially less secure email. If materials needed to be updated, the documents would have to be reprinted and distributed again. Not only was this costly and time consuming, but there were also concerns over version control and document security.

CenterLight Health System has a board comprised of 62 members and they hold 20 meetings a year. With this many meetings taking place, the board administrator would spend hours managing the board book assembly in-house. The paper-based approach involved printing, binding, and shipping the board books to each board member for each meeting. Aside from spending multiple days managing the board book assembly, the material costs were an average of $40K a year and there was always a challenge with version control and security risks, should proprietary materials fall into the wrong hands.

Aspirus, Inc. has experienced significant growth over the past decade, which resulted in the addition of numerous subsidiary boards of directors and supporting committees. The volume of board and committee packets, as well as overall communication with the various boards and committees, became overwhelming to manage. Additionally, the increased pace of business necessitated a quicker and more reliable mode of communication than the standard paper and postal service, and an option more secure than email.

Aspirus needed to find a solution that would streamline processes, reduce costs, and provide more secure accessibility to its directors, administrators, and staff.

Alliance Trust was evolving into a diverse and geographically dispersed board which brought with it issues relating to the distribution of Board materials in the traditional paper format. In addition to the difficulties of distribution the manual assembly of board packs was taking an increasing amount of time and subsequent mailing or courier delivery was expensive and could not be guaranteed. Alliance Trust knew that there had to be a solution out there where they could manage proper due-diligence as well as relieve corporate executives of the paperwork and time involved in keeping their boards informed.

The management of the board meetings was a manual process, curating the content, printing the materials, binding the books together, and ensuring shipment of the board materials in a timely manner would take days to complete. Cost was becoming a factor in their existing process. It was not only the cost of materials, printing, shipping, hotels, meeting rooms, etc. but also human cost. Given that each meeting would consist of 200-400 pages, managing the board requirements left limited time to focus on other initiatives and tasks. After learning that other boards were using a board portal solution and that the Chairman had recommended Directors Desk, EKF’s Secretariat knew that she had to research options.
